Official Transcripts
Most scholarship agencies require official transcripts from all post-secondary
institutions attended.
University of Waterloo Transcripts
Waterloo official transcripts required for scholarship
competitions administered by the Graduate Studies Office (GSO) will
be provided without charge to current undergraduate and graduate students.
Procedures for Students Applying for Scholarships with Hardcopy Application
Submission (e.g. OGS and SSHRC) and CIHR Master's Award
Students must notify their graduate
department scholarship coordinator that they are interested in applying
for a graduate scholarship(s). The coordinator will order the applicant's
Waterloo transcript by completing a "department transcript request
form" (an Excel document) once per day as necessary and emailing it
to gsoaward@uwaterloo.ca . The
Graduate Studies Office will order and print the Waterloo transcript, evaluate
and average it and send a hardcopy to the graduate department.
For applicants who require transcripts from other previous post-secondary
institutions, it is the student's responsibility to request
transcripts from their previous institutions well in advance of departmental
deadlines. Transcripts from these institutions should be mailed directly
to the graduate department scholarship coordinator. These transcripts must
be in either English or French.
The Graduate Studies Office will certify transcripts from international
universities where a student is unable to obtain copies due to situations
where the country is in a state of war, political upheaval or other type
of disorder. Certified copies will only be made for major competitions administered
by the GSO.
- Students who require this service must come to the GSO reception
desk (2nd floor Needles Hall) and complete the "International Transcript
Request Form". Students must indicate the number of sets required
(set = graduate and undergraduate transcripts). One set is required for
each competition.
- The GSO will retrieve the transcripts requested from their data
management system, stamp them "certified" and send them directly
to the student's department. The transcripts will NOT be released to the
student under any circumstances.
Procedures for Students Applying for an NSERC Postgraduate Scholarship
The deadline has passed for requesting transcripts
for the NSERC PGS competition. The GSO will no longer be accepting these
requests.
Students applying for NSERC PGS/CGS must assign a designate on the NSERC
online system in order to have their transcripts uploaded to their application.
Students are to use gsoaward@uwaterloo.ca as the designate.
When prompted for the Family Name and Given Name, applications should enter
"Bilotta" and "Miranda" respectively. Students have
until September 30th
at 3:00pm to request their transcripts for their NSERC application.
Note: Before you are able to assign the designate, applicants must
complete the Academic Background section of their application.
This information will be electronically sent to the Graduate Studies Office
to ensure all required transcripts are uploaded to your application. As
a condition of program admission, students must provide their final official
transcripts from previous institutions to the GSO. Providing these have
been received, the GSO will retrieve transcripts from the previous institutions
identified on the Academic Background page from their data management system
at no charge to the applicant. If the applicant is not currently registered
at Waterloo or has not provided their final official transcripts from previous
institutions to the GSO, they are responsible to obtain these and send them
to Miranda Bilotta in the Graduate Studies Office, 2nd floor Needles Hall.
If you have listed a degree program on your Academic Background page, the
transcript from that program must be included in your NSERC application.
Note: Undergraduate Students Applying for an NSERC Postgraduate
Scholarship
Current undergraduate students who attended a previous post-secondary institution
for an undergraduate program are required to provide a hardcopy of their
official final transcript (in a sealed envelope) to Miranda Bilotta in the
Graduate Studies Office. The GSO will scan and upload the transcript to
the student's online NSERC application. If the student is also applying
for OGS, the hardcopy transcript will be sent to the student's department
coordinator to be attached with their OGS application. Students who are
unable to obtain hardcopies of their transcripts from international universities
should refer to the instructions above for having transcripts certified.
Procedures for Students Applying for Vanier CGS Scholarship
The Graduate Studies Office will receive electronic notification that students
are applying for these awards and will order a Waterloo transcript at no
charge. Students who attended other post-secondary institutions and are
currently registered at Waterloo must complete an "applicant
transcript request form" and click the submit button. As
a condition of program admission, students must provide their final official
transcripts from previous institutions to the Graduate Studies Office. Providing
the GSO has been provided with these, the GSO will retrieve transcripts
from the previous institutions identified on this form from their data management
system at no charge to the applicant. If the applicant is not currently
registered at Waterloo but intends to be for their doctoral program, they
are required to obtain transcripts from their previous institution and provide
them to Heidi Mussar in the Graduate Studies Office, 2nd floor Needles Hall.
The GSO will upload the Waterloo transcripts as well as the transcripts
from the previous institutions to the student's online application.
